Switching knowledge tools usually means a weeks-long migration and retraining period that nobody has time for. The standard pattern is: identify the problem, evaluate tools, select one, schedule a migration sprint, migrate everything, retrain the team, decommission the old tool. In practice, the migration sprint takes three times longer than planned, the team reverts to old habits during the transition, and the "decommission" date gets pushed indefinitely.
There is a better approach. The key insight is that PSA integration does not require a full migration. It requires a connection point that makes the new tool faster to use than the old one, for one specific scenario. Once that scenario is solved, adoption grows from there.
What a PSA connector actually provides
A PSA connector is not a migration tool. It is a context bridge. When a tech opens a ticket in ConnectWise, Autotask, or HaloPSA, the connector pulls the client identity from the ticket and surfaces the relevant runbooks, credentials, and asset records in the knowledge tool alongside the ticket context.
Without this bridge, the tech has to switch applications, remember which client they are working on, navigate to that client's section in the knowledge tool, and search. With the bridge, the client context follows the ticket. The knowledge tool is already showing the right client when the tech arrives.
The incremental adoption path
Start by connecting the PSA and setting up a single client environment in the knowledge tool. Take your highest-volume client and document the five runbooks that cover their most common ticket types. Connect those runbooks to their credentials. Publish.
For two weeks, have techs use this single connected client only. Do not migrate anything else. Measure lookup time on those ticket types against your previous baseline. If the improvement is real, the team will feel it and will ask to extend coverage to more clients. If it is not, you have two weeks invested, not two months.
ConnectWise Manage integration specifics
ConnectWise's PSA uses company ID as the primary key for client records. The Lexful connector maps ConnectWise company IDs to client environments during setup. Once mapped, runbook lookups from a ticket surface only that company's records. API key setup takes about 10 minutes. No webhook configuration required for the basic integration.
Autotask specifics
Autotask uses account IDs. The connector setup flow asks you to authenticate with Autotask credentials, pulls your account list, and lets you map accounts to Lexful client environments one at a time or via CSV for large deployments. Custom field sync is available but not required for the core integration.
What not to do
Do not migrate all your existing documentation first and then connect the PSA. The migration will take longer than expected, the content will need cleanup before it is usable, and by the time the PSA connection is live, the team will have already formed an opinion about whether the new tool is worth the effort. Start connected, start with one client, start with five runbooks, and let the experience make the argument for expansion.
